About CC meetings (standing item - Janet)

A Community Council meeting is one of the best ways for people to learn about and participate in our organization.

We want everyone to have a voice. At the same time, we don't want discussions to become unfocused or endless. So we try to follow some guidelines:

  • All meetings should be about an hour in length.
  • The agenda should be a 1-2 page bulleted list with a person assigned to report on each topic.
  • We go through brief announcements and short reports from staff and project leaders in the first 20-30 minutes of the meeting. The rest of the meeting can be reserved for added agenda items and special presentations.
  • Each meeting will have a note-taker, an MC, and a facilitator. The MC runs the meeting, the note-taker takes notes, and the facilitator keeps order.
  • Everyone has a voice: the facilitator and participants should work to ensure all volunteers get an opportunity to participate and share their questions, feedback, and good ideas.
  • There is a 10-minute time limit to all topic discussions. If there is no solution after 10 minutes, we poll the room to decide whether to discuss the item further or table it until the next meeting.
  • Everyone is strongly encouraged to sign up for FGC's email discussion list at  https://groups.google.com/group/freegeekchicago-talk.
